Job Title: Administrative Assistant
Division: Phoenix/Mesa AZ
Reports To: Sales Manager
FLSA Status: Part Time (to Full:Time by end of year) Non:Exempt, Hourly
JOB SUMMARY:
ALL ABOARD AMERICA is a nationwide charter motorcoach company with locations throughout the Southwest. ALL ABOARD AMERICA has been in business since 1936. Our company is seeking an Administrative Assistant that would provide assistance/support to Charter Sales Manager and their department. This position would be based out of our Mesa, AZ division.
RESPONSIBILITIES:
Answer and direct phone calls to appropriate staff/department.
Produce and distribute correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Provide general support to visitors
Provide information by answering questions and requests
Assist in creating proposals and RFPs
Handle multiple projects
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Write letters and emails on behalf of other office staff
Reply to email, telephone or face to face enquiries
Develop and update administrative systems to make them more efficient
Ensure that deadlines are met and work is completed correctly
QUALIFICATIONS/SKILLS:
Proven admin or assistant experience
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi:task and prioritize work
Attention to detail, problem solving skills and comfortable working in fast:paced office environment
Excellent written and verbal communication skills
Strong
organizational/planning skills and ability to complete projects in a timely manner
Proficient in MS Office and Photoshop
Ability to analyze and revise operating practices to improve efficiency
High school diploma or equivalent; college degree preferred

May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the work day. Proper lifting techniques required. May include lifting up to 25 pounds for files, computer printouts on occasion. Primary environment: ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
