Job Description
Progressive multinational investment services management firm in needs of an Office Manager / Executive Assistant to work with various companies with in our organization and top executives and officers. Must be very flexible and be able to multitask. Will be responsible for some property management, assisting executives and owners and CFO with management of various businesses in multiple companies in Real Estate, Finance, Automotive, Aero Space, Defense, Electronics, Retail, Consumer Goods, and Manufacturing in the US and abroad. Our businesses in Finance are in Securities Trading and Clearing, Money Management, Wealth Management, Lending, Private Equity, and Investment Banking. Our business in automotive is in new and used automobile sales, leasing, parts, and service.
Coordinate executive communications, including taking calls, responding to emails and interfacing with clients
Assist accountants, CPA, and CFO with tracking expenses
. Human Resource experience
Assist with Reconciliations
Good computer skills. Must be proficient in Outlook, Word, Excel and Abode Acrobat
Prepare and organize internal and external corporate documents
Schedule meetings and appointments and manage travel itineraries
Maintain an organized filing system of paper and electronic documents
Uphold a strict level of confidentiality and uses a high degree of discretion
Develop and sustain a level of professionalism among staff and clientele
Make bank deposits
Maintain insurance, taxes, and registrations for corporate vehicles and property nationally
Assist rent rolls and distributing of monthly rental invoices nationally
Assist showings of property and work with real:estate agent for rentals nationally
Maintain executive office conditions
Maintain and manage paper and electronic file management system
Assist in managing venders and executive customers
Manage certain company staff and entities assigned to them

Must have 5 years executive assistant or executive office management experience. Must be energetic, motivated, and flexible in schedule and willing to be available at various times throughout the week and work considerable hours at times. BSBA in business, finance, marketing, management, accounting or law degree a big plus. Top compensation paid for the right candidate commemorate with experience. This role can lead to other executive positions within the organization for the right candidate.
