Job Description:/h3:
Job Summary:
Responsible for providing a wide variety of administrative and clerical support functions for assigned
departments/segments.
Reports To:
:Executive Assistant
Supervises:
:None
Essential Functions:
:Supports assigned
departments/segments by handling a wide variety of administrative tasks including but not limited to scanning, filing, copying, data entry, composing and preparing correspondence and other documents, and a variety of other administrative tasks as assigned.
:Assists the Marketing Department with various duties and tasks including but not limited to: email blasts, newsletters, events, flyers, printing, binding, laminating, and other related tasks as assigned.
:Provides administrative support for the Executive Assistant, owners and/or managers as requested.
:Negotiates, coordinates and maintains all travel arrangements for field employees, including maintenance of travel account, travel reporting and reconciliation of travel credits.
:Greets and assists walk:in candidates, applicants, employees, vendors and customers.
:Coordinates calendars, schedules, meetings and trainings.
:Sets up and maintains files and records. Files documents accordingly.
:Signs for office packages and schedules courier deliveries.
:Distributes company mail and packages daily.
:Manages incoming phone call and transfers appropriately.
:Cleans all common office areas.
:Runs errands as required.
:Executes special projects as needed.
:Performs other related duties as required and assigned.
Knowledge, Skills and Abilities:
Superior attention to detail and the ability to multi:task are imperative.
Must be very personable, have a great attitude, and be flexible and cooperative.
Proficient in the use of Word, Excel, Outlook, internet, and other basic software systems.
Familiarity with Adobe Design Software is a plus but not required (i.e. InDesign, Photoshop, Illustrator, etc.)
Excellent interpersonal, written, and verbal communication skills.
Must have experience in working with confidential documents and maintaining confidential information.
Well:organized, detail:oriented.
Able to balance and prioritize multiple deadlines.
Must have a strong sense of Customer Service and enjoy working with all levels of employees.
Must be able to function in a fast:paced environment with changing priorities.
Must be able to work well in teams as well as independently and with minimal supervision.
Fluency in Spanish is a plus but not required.
Valid drive license with acceptable driving record in accordance with CSW policy.
Education and Experience:
GED or High School diploma as a minimum.
Minimum one year office administrative support experience. Construction industry experience is highly desirable.
Work
Environment/Physical Demands:
Minimum 40 hours per week with overtime as needed.
General office environment.
Requires no heavy lifting.
Includes sitting, standing, walking and use of hands, arms, legs and feet.
Required to travel for supplies and errands.
May be required to travel to jobsites on occasion. Jobsite conditions will vary depending on type of work being performed, however, employee may be exposed to dust and noise while on a jobsite.
