Receptionist
Position Summary
The Receptionists main responsibility is to welcome visitors or clients and to answer and direct telephone calls to the appropriate destination. To provide administrative support to Senior Office Manager and other departments as time allows.
Essential Functions
Administrative
:Answers incoming phone calls and directs callers to the appropriate extension or location.
:Greets and/or assists all visitors entering the reception area.
:Provides customer service to the callers and visitors by listening, assessing their needs, and providing
Information on how you will be assisting them
:Ensure the visitors sign in and out of the AMR Visitor Log.
: Issues the guest a Visitor access badge, if needed.
:Immediately contacts the employee their guest is waiting to be escorted.
:Receives and contacts the appropriate employee of front desk deliveries.
: Responsible for auditing the Visitor access badges weekly to assure they have all been returned.
: Serves as a point of contact to reserve conference rooms in the Scottsdale office when meeting space is
requested.
: Routes the "General Questions" that are received from the Rural/Metro website to the appropriate
department or person to handle and respond to the question.
:Updates the Reception Handbook on a regular basis and reorganizes the handbook, as necessary.
:Maintain a tidy reception/lobby area.
:Proactively anticipates or identifies needs and/or concerns and addresses promptly.
:Provides administrative support to the Senior Office Manager and other departments/managers as
requested.
:Assists and performs any special projects or duties assigned which may at times involve over time.
:Demonstrates dependability by regular attendance consistent with scheduled hours.
Communication
:Effectively and efficiently communicates with all levels of executive, management, staff and public.
:High level of professionalism at all times through tone and manner on the phone and in face:to:face
interactions.
:Ensure that all forms of communication with visitors and employees are conducted with an extreme
sense of confidentially.
Qualifications
:Must have a professional personal presentation.
:Knowledge of customer service principles and practices.
:Proven ability to handle a high level of client interaction.
:Demonstrate professionalism and ability to maintain the highest level of confidentiality.
:Excellent communication skills, both written and verbal.
:Excellent organizational and follow through skills.
:Knowledge of Microsoft Office applications. Visio and Adobe Photoshop a plus.
:Ability to manage multiple projects and tasks with a high level of detail and accuracy.
:Ability to work well and prioritize in a fast paced multi:project environment. Working well under pressure.
:Takes the initiative to search out tasks and projects to help others when pace and desk are slow.
Educational Requirements
:Two or more years of receptionist/administrative experience.
:High School Diploma or GED.
