The Administrative Assistant is a professional administrative role that requires attention to detail and proactive approach to performing assigned responsibilities for the business and executives in the office. Must be able to prioritize diverse assignments and understanding of effective office management is essential. A successful candidate will have confidence and understand when to take action or request assistance. This is a critical role for internal operations and represents the company to visitors, vendors and internal stakeholders. Key objectives are:Provide administrative assistance to the EVP of OperationsOversee office and systems to ensure operating efficiently and securelyEnsure a positive experience for all those who interface with the roleResponsibilities include but are not limited to: Executive SupportCoordinate and collect inputs of departmental metrics and weekly departmental status reportsMake travel arrangements and prepare travel documents for each trip; complete expense reports with correct and complete documentationMaintain executive calendar; identify and resolve schedule conflicts and communicate schedule proactivelyPrint and organize copies and documents as neededBook travel arrangements as requested for VPs in officeCoordinate logistics and setup space for office visits and internal meetings for executives General Office SupportAssist in facility plans and coordinate office servicesManage and organize corporate documents (soft and hard copy) retention and security Contribute to standard operating procedures (SOPs) currentPlan and execute logistics for corporate events and projects including providing administrative and logistics support for employee eventsComplete and report weekly Operations checkIn coordination with IT, ensure office equipment is operational and set up maintenance / repairsTrack, assign and collect all office and desk keys for assigned locationAdhere to and ensure security of site is maintained; provide access as requiredInventory and maintain office suppliesReview and quality check content of Outlook Address Book monthlyCollaborate with and provide back up for other administrative staff Front Desk SupportAnswer front desk calls and greet visitors in a professional, welcoming mannerSign for, sort and distribute incoming mail; prepare and send out:going mail, shipmentsMaintain site and conference room calendarKeep supplies in all areas tidy and organizedKey attributes and experience include:High school diploma required; Associates degree in Business or Administration preferred3:5 years of experience in mid:level administrative role requiredProficient in MS Office; strong computer skills and demonstrated ability to understand technical requirementsPrior travel planning and scheduling in Concur preferredAttention to detail and customer service is essential for success in this roleAble to maintain and promote confidentiality at all timesAble to communicate is an effective, professional mannerMust be able to multi:task and self:direct completion of work Able to maintain a confident, profession demeanor at all timesReliable attendance and punctuality are essential and requiredPositive attitude and collaborative with team and working groups is requiredComplete projects with accuracy and on time as assigned is required
