The Director of Operations improves the efficiency and development of the operations area. Duties include translating the policies of the President into workable and successful programs, recognizing, rewarding and developing opportunities and employees. Anticipate potential problems, taking corrective action in consultation with the President. The successful Director of Operations will have multiple direct reports and will understand the impact they have on all employees and departments.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Employee Engagement and Organizational Effectiveness
• Supervise/Support Program Managers, Air Department, Sales & Support staff
• Proactively reward and recognize employee behaviors that add to the strength of the company. Recognize and address employee behaviors that detract from the strength of the company.
• Train/assist new employees as well as continued support for all employees.
• Monthly, Quarterly and/or semiannual reviews and evaluations
• Ensuring working hours and time off have the best interest of both internal and external customers, including travel time, vacation, comp-time and all other days off
Operations
• Proofing all trip details
• Review hotel and airline contracts
• Review final hotel and ground bills
• Reconciling final hotel and ground bills to budget
• Reviewing calendars weekly, making sure they are kept up to date
• Coordinating travel staff schedules
• Reviewing final client invoices
• Assistance with logistics, menus, themes and creativity
• Clearing payments and charges with accounting department
• Making sure all client payments are paid in full before program departs
• Make sure invoices have been issued and client has paid all prior trip delivery
• Be able to interface with clients, if necessary, to avoid or handle problems. Assist in creative problem solving
• Be able to give ideas for reselling the client for their next program. Stay on top of reselling with PM’s
• Monitor and review databases and reports
• Monitor printing and supplies
• Monitor ASI and promotional pieces
• Proofing final drafts of printed items
Sales & Marketing
The Director of Operations will lead the management of the Sales and Marketing function through the National Sales Account Executive. With the current business model, an Account Executive/Manager (sales) and a Program Manager (operations) work jointly on a client program or proposal to ensure delivery of a WOW event. Ensuring that this process continues to flourish is the responsibility of Director of Operations.
• Work with Sales/Account Managers to assist them in developing new business or resigning/growing current clients
• Provide, discuss & review all sales contracting direction for customer programs
• Meet weekly with Account Managers to review weekly reports, client profiles, etc.
• Work with Account Managers to target and identify corporations for opportunities
• Determine and assign Open Leads to current Account Managers with input from the President
• Supervise the proposal process (provide President with proposal updates in monthly report)
• Attend client presentations and participate when determined necessary
• Supervise the Sourcing Coordinator
• Work with Sourcing Coordinator to update ADI’s Preferred Supplier List
• Approve and guide the coordination of client fam trips (site inspections)
• Approve quarterly email blasts by Sourcing Coordinator
• Work with Sourcing Coordinator and Account Managers to create and produce new marketing materials
• Work with Team (planners and account managers) to ensure constant, consistent program communication
• Supervise ADI advertising and potential trade show and sponsorship opportunities including budgets for such opportunities. Offer input and suggestions to President
Executive Management Relations
• Report to President and/or Vice President
• Submit weekly updates, via email and/or in person meetings to executives as outlined by President
• Meet with executives at least 1x per week for the purpose of maintaining current company objectives and/or re-directing areas that may not be working as planned.
• Able to make executives aware of any/all employee wins as well as sidetracked employee behaviors
• Understand and enforce office rules and guidelines for the sole purpose of fairness
• Maintain confidentiality in the best interest of the company and the employee

Performance Objectives

• Meet with all employees in the first 30 days to ensure a smooth transition of the Director of Operations position and how it impacts each employee on an individual basis.
• In the first 90 days, identify current people and programs that are working well and improve, where necessary, the effectiveness of the current people.
• In the first 90 days, provide a complete and thorough understanding of all ADI programs, business functions and current business strategies to the President and/or VP.
• Feedback provided as necessary to employees for the purpose of continued employee growth and development. Expected ratio of positive feedback vs corrective feedback is 90%/10%
Expected to work 50-60 hours weekly when necessary. “Role Modeling” a good example to others is of paramount importance. Maintain a high level of self-awareness for the purpose of giving and receiving feedback.
Door and mind should always be open to discuss, assist and brainstorm with Program Managers, Sales and Support Staff during office hours.
Managing people is the primary responsibility. Paperwork should be completed after hours when necessary in order to facilitate employee needs.
Employee Engagement, Organizational Effectiveness, Sales and Marketing Oversight and Quality Control are the primary responsibilities of the Director of Operations.

Qualifications:

10 years minimum industry experience
5 years experience managing a team
Substantial documented success and background in Organizational Effectiveness and Development
General understanding of Sales and Marketing
BS/BA degree preferred
P&L Experience to demonstrate overall business acumen
Demonstrate Effective Communication skills and ability to problem solve while maintaining a profession presentation
Local Candidates preferred and will consider relocation for best candidate
