This position supports the Sr. VP of International (SVP) by providing clerical and administrative services and assistance, of moderate complexity, requiring the use of judgment and discretion on a daily basis. The position completes a broad variety of administrative tasks including:managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that may be confidential; arranging complex and detailed travel plans, itineraries and agendas; managing internal/external events and compiling documents for meetings. The Executive Assistant will be knowledgeable of leaderships accountabilities and business needs.Handles a wide variety of situations involving the clerical and administrative functions of the office; assists the SVP with management of calendar, schedule, and workload to ensure SVP is adequately prepared for meetings.Provides direct support by coordinating departmental activities, appointments and travel; and independently drafts and edits correspondence, speeches, memoranda, reports and publications.Performs an array of business transactions, such as travel requisitions, account reconciliation, inventory, financial analysis and forecasting, etc. for assigned area and assists in preparing and maintaining departmental budgets and fiscal reports.Answers the phone, makes arrangements for conference calls and meetings, including, but not limited to, Skype and WebEx meetings; maintains administrative department records up:to:date; orders supplies and products, assists with scanning, printing, faxing and photocopying.Acts as a liaison between the International office and other departments or independent associates through multiple communication channels and communicates relevant information, troubleshoots and resolves issues.Provides direction and performs project management duties associated with normal department work load and special projects.Assists with all aspects of onboarding of new hires, including training schedules. Handles the logistics and prepares presentations, reports, graphs and agendas for meetings and events; and serves as the representative for administrative matters.Conducts market research and provides recommendations to SVP on executive and departmental matters.Represents the SVP and the International office at various meetings or work functions and provides discussion points addressed.Coordinates team building events for the department and complex travel arrangements, both domestic and international, including flights, car rental and hotel accommodations for the SVP, team members, associates, and guests.AssociateA?s degree or equivalent experience.5:7 years of previous senior level executive administrative experience.Skilled in the use of Microsoft office software to include Word, Excel, PowerPoint, and Outlook.Strong interpersonal skills, detail oriented and able to coordinate/manage multiple tasks simultaneously.Must have knowledge of business English, spelling and punctuation, office practices and procedures and previous experience in calendar/event maintenance of a high profile executive.Environment requires the ability to work in a fast:paced office where daily challenges occur and volumes can be heavy.Travel and extended work hours may be required for work events and department assignments.None
